How to guide on planning to study abroad

At first it may seem overwhelming navigating all the steps to study abroad but, don’t worry, we’re here to walk you through the entire process of scheduling and planning your study abroad experience.

When to Start Planning

We recommend that students start planning for their program abroad around 9-12 months in advance. Give yourself plenty of time to plan ahead so you are not rushed through the process.

Once you’ve decided on a program and term and are ready to apply, you can start your online application with TEAN. We typically open program applications a year in advance.

Application Deadlines

Our listed program deadlines are the absolute latest date we can take your application, but we encourage you to apply as soon as you’re ready to move forward with your application. If you miss a deadline, you can contact us to see if there are still spots on the program.

We encourage you to meet with your university’s study abroad office early in the application process. They will advise you on any steps you need to take on their end and explain your university’s study abroad process to you. You will also want to ask them about the policy for transferring credit and financial aid.

Steps to Going Abroad

All TEAN programs follow the 6 Easy Steps to study or intern abroad. These six steps take you from the time you initially apply until it’s time to depart. Our steps cover everything from selecting courses, figuring out your housing, flights, contracts and all the other small checklist items that will get you ready to go abroad. Your TEAN Program Manager will send you updates when it’s time to move onto the next step and keep you on track throughout the process.

Australia

Australia Application Timeline

Financial Aid Agreement  As soon as it is available to be completed by home university.  If you are using financial aid for this program, you will work with your home university Financial Aid Office to complete the document and return it to TEAN. The Financial Aid Agreement must be completed by your program’s Payment Deadline. 
Acceptance on the Program  Rolling  We can accept you on the program once we have your program’s required application forms, assuming you meet the eligibility requirements for your program. 
Program Invoice  Rolling  Once you are accepted to the program, Accounting will send you an invoice for the program fee and housing commitment fee. Your exact housing fee will be billed later once housing is confirmed; the housing commitment fee goes towards your housing fee. 
Pay Program Invoice  Due by Payment Deadline  Your program invoice is due by your program’s Payment Deadline. See the list of payment deadlines here. Your Program Manager will explain how using financial aid works.

Flight Booking Instructions  3 months prior to departure  We will send you flight instructions when it’s time to start planning travel. We release flight booking instructions once dates are confirmed and it’s the ideal time to buy tickets. 
Apply for Student Visa  2-3 months prior to departure  You should apply for your visa as soon as you receive directions. We send this information out once we have your official Admission Documents from the overseas University. For summer programs that are under 90 days, you will be instructed to apply for a tourist visa instead of a student visa.”

Pay Program Deposit Rolling After you complete the initial application and your resume/cover letter, your Program Manager will send you the link to pay the $500 program deposit. If your home university covers your $500 program deposit, you will not receive an invoice. This fee must be paid before you move to the next step.
Complete Career Advising Session Rolling ou’ll be asked to schedule a call with our Internships Team within one week of finishing your application and paying your deposit. This is your opportunity to discuss what kind of internship you’re looking for and for us to work on resume and cover letter edits together!
Interview with the Host Company Rolling We will help coordinate any interviews with the host companies. Most interviews are conducted via online platforms like Zoom. Not all hosts request an interview.
Internship Placement Profile 1-3 months prior to departure Once we have secured an internship offer for you, we will send you the Placement Profile including your placement details. You have 5 business days to accept your offer.
TEAN Program Contract and Code of Conduct Rolling After you accept and sign your Internship Placement Profile, you will be sent a Program Contract and Internship Code of Conduct form. You will need to review and sign both documents.
Flight Booking Instructions 2 months prior to departure We will send you flight instructions when it’s time to start booking. We release instructions once your Program Contract is signed.
Apply for Visa (Location Dependent) 1-3 months prior to departure You should apply for your visa as soon as you receive directions. We send this information out once we have your signed Program Contract. Some internship locations do not require a visa for U.S. citizens.
Final Program Invoice 1 month prior to departure We will send you an invoice for the final program cost, this must be paid no later than 1 month prior to departure.
Financial Aid Agreement As soon as it is available to be completed by home university.  If you are using financial aid for this program, you will work with your home university Financial Aid Office to complete the document and return it to TEAN. Due by invoice due date.
Housing Preference Form 1-2 months prior to departure We will request your housing preferences and use this information to match you with your roommates in your host city.
Pre-Departure Information 2-4 weeks prior to departure We will send you pre-departure information including details on packing, taking medications abroad, insurance, finances abroad and what to do with your cell phone/phone plan.
Arrival and Orientation Information 2-4 weeks prior to departure Your Program Manager will send you details on what to expect upon arrival in your host country, pre-departure orientation details, orientation itinerary, and contact details for other program participants.
