In this section, you will find information on funding your program including details on the different types of billing arrangements, invoices, using financial aid, invoices, payment plans, down payments, the cancellation policy and information about the Withdrawal Protection Plan. 

PLEASE NOTE: You will not make any payment until you receive your Payment Portal login information from TEAN.  You will receive access to your Payment Portal after you complete the required forms on your TEAN portal and are accepted to the program.  The TEAN portal is where you complete your application materials, while the Payment Portal is a separate system. This page is important to review so that you are ready to make payment once you receive your Payment Portal access.

TYPE OF BILLING ARRANGEMENT

There are various arrangements for billing based on your home university. It is important to check your TEAN Portal to see which type of billing arrangement applies to you. This will be listed in your TEAN Portal at the top of your checklist after you have been accepted by TEAN. Below is an explanation on what each type of billing means for receiving your invoice and making payments for your program abroad.   

Standard Bill 

If your TEAN Application shows that you are a Standard Bill student, you will pay TEAN for the entire program. Please wait to pay TEAN until you have logged into your Payment Portal. 

Direct Bill 

If your TEAN Application shows that you are a Direct Bill student, this means that we have a special billing arrangement with your home university, in which you will NOT pay TEAN for the program but will pay for your program to your home university instead. For any questions about billing, you should contact your home university. Note that the TEAN Cancellation Policy still applies to Direct Bill students.  

Split Bill 

If your TEAN Application shows that you are a Split Bill student, this means we have a billing agreement with your home institution. You will make partial payment for the program to TEAN and will pay the rest to your home institution. Please wait to pay TEAN until you have logged into your Payment Portal. Please reach out to your study abroad office for information on how you will make payment to your institution for the remaining balance. 

PAYING WITH FINANCIAL AID

If you are a Standard or Split Bill student and plan to use financial aid to pay for your program fees. Please review the following information on paying with financial aid. If you are a Direct Bill student, this section does not apply to you.  

STEP 1: WORK WITH YOUR HOME UNIVERSITY 

Contact both the study abroad and financial aid offices at your home university about how to use your financial aid to pay for study abroad. Ask which aid may be eligible to use toward study abroad and if there are any other requirements. TEAN can accept any aid that your university determines is eligible to be disbursed to you or directly to TEAN.

STEP 2: COMPLETE REQUIRED FORMS 

TEAN FORMS
Financial Aid Agreement Form (FAA) – This form is completed by you and your home university. The FAA acts as proof of incoming funds and allows you to defer a portion of your payment until your financial aid awards are released, even if that is after your program start date. Note: If your entire program is covered by aid, a down payment is still required to confirm your participation in the program. 
1. Download the Financial Aid Agreement
2. Read the information carefully and sign and date the student portion at the bottom
3. Send your signed FAA to your financial aid office and ask them to either send to info@teanabroad.org or return the form to you for upload to your TEAN application. 

HOME UNIVERSITY FORMS
Consortium/Contractual Agreement – Your home institution may require a Consortium or Contractual Agreement with TEAN in order for you to use your aid for the program. When you meet with your advisors, ask if this agreement or any other required paperwork must be completed. If so, any agreements can be submitted to HigherEdFinAid@worldstrides.org for completion and return to your home university.  
 

STEP 3: SUBMIT FAA AND PAYMENT BY TEAN PAYMENT DEADLINE 

You will be required to submit your FAA and a down payment on or before your TEAN Payment Deadline. Please read the example scenarios below to understand how much will be due and when.   

Scenario 1:  Your full program cost is covered by financial aid.
By the payment deadline, you must submit a down payment of $500-$2,000, depending on your program term and location.  The down payment is the minimum payment required to hold your place in the program and allows TEAN to make financial commitments abroad on your behalf. Find the list of down payment amounts by scrolling down to the bottom of this section. Your remaining deferred program balance is then due to TEAN within 5 business days of your disbursement date as indicated on your FAA. You may submit payment per the options in Step 4.   

Scenario 2:  A portion of your program cost is covered by financial aid.
By the deadline, you must submit the difference* between your aid amount and the program cost. If the difference between your financial aid amount and your program cost is less than your program’s down payment, you must pay at least the down payment amount. Find the list of down payment amounts by scrolling down to the bottom of this section. Your remaining deferred program balance is then due to TEAN within 5 business days of your disbursement date as indicated on your FAA. 

*You may opt into a payment plan to allow you more time to submit payments if the difference between your aid amount and the program cost is greater than the down payment amount. If you require this option, please review and submit the Payment Plan Form. Payment plan details can be found further down this page. Once your aid is disbursed, it is due to TEAN within 5 business days. You may submit payment per the options in Step 4.  

Scenario 3:  You no longer plan to use financial aid  or  decide  to pay out-of-pocket.
Let us know so we may update your status. You will be responsible for either paying your program cost in full or setting up a payment plan by the payment deadline.

STEP 4: SUBMIT DEFERRED PAYMENT TO TEAN UPON AID DISBURSEMENT  

Payment is due to TEAN within 5 business days of the disbursement date listed on your FAA form. If your university has indicated that the funds will be disbursed to you, you will need to then pay TEAN. If you do not see your funds in your account when expected, reach out to your financial aid office. You should also notify TEAN of any delays to avoid late fees. Should your actual aid amount not match the FAA, you are responsible for paying the difference.See the Payment Methods section below for payment options.  

Extensions & Important Notes  

If you cannot submit the FAA form by the TEAN Payment Deadline, please plan to make the minimum down payment by the deadline and contact us to request an extension on the FAA.   

If your financial aid status changes at any time, it is your responsibility to inform TEAN. 

Failure to submit required payment by the TEAN Payment Deadline may result in late fees, interest or program ineligibility. If your participation in the program is dependent upon an award that will not be confirmed by the deadline, TEAN recommends enrolling in the optional Withdrawal Protection Plan. Note that not all programs are eligible for the optional Withdrawal Protection Plan. All students who withdraw after the TEAN Payment Deadline are subject to the TEAN Cancellation Policy.

If you are a Standard or Split Bill student, and the full cost of your program will be covered by financial aid, you must submit a down payment of $500-$2,000 by the payment deadline.  The amount depends on your program term and location (please see amounts below). 

The down payment is the minimum payment required to hold your place in the program and allows TEAN to make financial commitments abroad on your behalf. Students not using financial aid or not enrolled in a payment plan must pay the full program fee by the deadline.  

Down Payments by Program:

  • $500 for summer programs (with the exception of specific programs listed below) 
  • $750 for South Korea E-Sports Program and Fiji: The Scholar Games 
  • $1,000 for Asia semester programs, Singapore HEX summer program, Australia summer traveling programs and Thailand summer programs 
  • $2,000 for Australia, Fiji and New Zealand semester programs 

PAYMENT PLANS

For Standard and Split bill students, payment plans are available. Your first payment is due by the Payment Deadline and the remaining two payments are then split up to have your balance paid in full prior to your departure to your host country. There is a $25 enrollment fee for the payment plan.

Please take the following steps to enroll in the payment plan option: 

  • Complete the Payment Plan Request Form
  • After submitting the request form, you will be contacted by TEAN within 3-5 business days with further details on setting up a payment plan, including the Payment Plan Agreement Form
  • Once you receive the Payment Plan Agreement form, you will need to review and complete the form and return it to TEAN

If you are utilizing the payment plan for your balance outside of financial aid (if larger than the down payment requirement), we must have your Financial Aid Agreement form on file. The balance outside of financial aid will then be split up for the payment plan.
 

Housing Payments (Australia & New Zealand only)

HOUSING PAYMENTS FOR SOME AUSTRALIA AND NEW ZEALAND PROGRAMS  

Some programs in Australia and New Zealand offer multiple housing options, and students will not have final housing allocations by the Payment Deadline. In this situation, students will be invoiced for the lowest amount in the housing price range for their program until housing allocations are finalized. During the housing preference stage of the application process, students will have the opportunity to rank their housing preferences for their program, and if they are placed in a housing option that is higher in cost, they will receive an additional invoice for the difference in cost around 1-2 months prior to departure. 

The following programs have multiple housing options that may require an additional invoice for those who are allocated a higher cost housing option.

To  submit  payment to TEAN, you can pay via card in your Payment Portal, or setup a Bill Pay or E-Check, mail a personal check, or setup a wire transfer. You cannot pay TEAN until you receive your login information to your Payment Portal, after you have been accepted to the program.

CANCELLATION POLICY

This policy applies to all cancellations, regardless of the reason. Your request to withdraw and receive a refund must be made in writing to TEAN. The $95 application deposit is non-refundable. If your application is denied due to eligibility requirements, your deposit will be fully refunded. Alternative payment arrangements (financial aid, payment plans, etc.) do not exempt you from this policy. 

If you withdraw… 

  • On or before the TEAN original payment due date, you are liable for the $95 application deposit 
  • 1-9 days after the TEAN original payment due date, you are liable for $750 plus costs incurred by TEAN on your behalf 
  • 10-20 days after the TEAN original payment due date, you are liable for $1,250 plus costs incurred by TEAN on your behalf. Summer program participants are liable for $1,000 plus costs incurred by TEAN on your behalf. 
  • 21 or more days after the TEAN original payment due date but prior to the final deadline for withdrawal, you are liable for $1,750 plus costs incurred by TEAN on your behalf. Summer program participants are liable for $1,500 plus costs incurred by TEAN on your behalf.  

The final deadline to withdraw from any TEAN program is 14 days prior to the start date of the program. If you withdraw after this deadline, regardless of the reason for withdrawal, you are not eligible for any refund from TEAN. 

Signing and returning all documents in your student portal is your responsibility. If you fail to return the documents after repeated notification (email or call), you will be deemed withdrawn and will not be eligible for any refund. 

Housing commitment fees are non-refundable after the TEAN original payment due date. If you change or defer to another TEAN program after your TEAN original payment due date, but prior to the final deadline to withdraw, TEAN will assess a $500 change fee plus costs incurred. Program changes are not permitted 1-14 days prior to the start of the program. Prior to your official acceptance, please refrain from booking flights for your program. TEAN reserves the right to adjust program dates to accommodate host university calendar changes and is not responsible for airline fare or ticket change fees incurred by program participants.

COVID-19 CANCELLATION POLICIES 

TEAN by WorldStrides COVID-19 Pre-Departure Program Cancellation Policy 

If TEAN is required to cancel or suspend your program before your program start date, you’ll have 

  • The option to consider an alternative TEAN program at a new location using your existing application and any paid fees 
  • The option to attend your preferred TEAN program at a later term, waiving any change fees 
  • The option to not attend any program and instead receive a full refund of your TEAN program fees paid (including your application and program deposits) 

If you’ve received a TEAN scholarship, it can be applied to a new program or term. 

TEAN by WorldStrides COVID-19 Active Program Cancellation 

If TEAN must cancel a program while it’s already running, we cannot guarantee a refund but will work closely with our partners and onsite staff to: 

  • Recover any associated program costs that can be returned to the furthest extent possible.
  • Present all available options to complete the academic requirements of your program, if possible 
  • Be in direct communication with you and your home institution 

WITHDRAWAL PROTECTION PLAN

The TEAN Withdrawal Protection Plan guarantees, if you give notice by the final withdrawal deadline, a refund of the original program payment, minus the $95 application deposit, withdrawal protection fee and extra charges such as late fees, change fees, optional add-ons, etc. Note that not all programs are eligible for the Withdrawal Protection Plan – programs in Australia, New Zealand and Fiji are excluded.

What programs qualify for the Withdrawal Protection Plan? 
The Withdrawal Protection Plan is available for semester and summer study abroad programs in Asia. Programs in Australia, Fiji and New Zealand do not qualify for the Withdrawal Protection Plan.  

Is this plan required? 
No, this plan and form are optional. Only complete this form if you want the plan. If you do not want the plan, you do not need to submit this form.

Why is this plan a good idea to purchase? 
If you’re worried you will have to withdraw after the forms and payment deadline, (due to medical reasons, waiting to hear about other commitments, or to be prepared for an unforeseen circumstances) this plan may be a good option for you.

What amount would be due for a withdrawal without this plan? 
You would pay accordingly to our standard Cancellation Policy if you don’t sign up for this this plan.

If I have purchased this plan and decide to withdraw, what do I need to do?
You must notify TEAN in writing of your decision to withdraw at least 7 days prior to your program start date (example, program starts on June 12, you must email TEAN by 11:59pm on June 5). If you notify us of your decision to withdraw within the week prior to your program start date, you would not be eligible for a refund.

What about extra charges that weren’t part of the original program price?
Any extra charges, like late fees, change fees, optional excursions, etc are not refunded to you if you withdraw and have this plan.

How to purchase the optional withdrawal protection:
You must submit this form and payment amount listed below by the program payment deadline. You must do both to receive the plan. 

The withdrawal protection fee is non-refundable and non-transferable to other TEAN sessions or participants.
